THE KEY TAKEAWAY

A useful RFQ makes both the material requirement and the quotation basis clear.

Describe the material without guessing

Start with the product family and the information you already know. For example, identify whether you are discussing a core sheet, a coated overlay or another card material. Include the offered or previously used grade reference if available.

If a requirement is undecided, label it as a point for discussion. This is more useful than copying a specification from a different project and treating it as confirmed.

State dimensions and quantity clearly

Provide the required thickness, sheet dimensions, colour or transparency preference, and estimated order quantity. Include units for every measurement. If there are several specifications, list each as a separate item.

Clarify whether the request is for sample evaluation, a trial order or a production requirement. If you are seeking price options at different quantities, identify each quantity rather than leaving the supplier to assume an order size.

Explain the application and destination

Describe the card application, printing method and proposed layer structure. Attach an existing specification or drawing when it helps explain the requirement, and make clear which version should be used.

For delivery discussions, provide the destination country and relevant delivery location. State any required timing as a request to be confirmed, rather than assuming it forms part of the supplier’s offer.

Ask for a complete quotation basis

Request confirmation of the offered specification, quantity basis, sample arrangements, packaging, availability and shipping terms. Keep technical questions alongside commercial questions so both can be resolved before proceeding.

  • Material family and grade reference
  • Thickness, sheet size and measurement units
  • Application, printing method and layer structure
  • Quantity and delivery destination
  • Required documents and sample evaluation needs

Use this guide to prepare your material discussion. Confirm grade-specific technical data, sample results and order terms for your own project.
