THE KEY TAKEAWAY

Give every sample a clear identity and keep the trial record with your purchasing specification.

Give the sample a specific purpose

Explain what you want to learn from a sample. You may be comparing material options, checking a proposed construction or preparing a trial of a previously specified grade. Make that purpose clear when requesting the material.

Confirm the sample specification and available quantity before arranging delivery. Discuss whether the sample format is suitable for the evaluation you have in mind and identify any information still needed.

Keep the material identifiable

Record the supplier’s material reference, stated specification and any supplied sample or lot identification. Keep labels and accompanying documents with the samples so the material remains traceable during the evaluation.

If several options arrive together, avoid relying only on appearance to distinguish them. Assign an internal trial reference that can be linked back to the supplier information.

Agree what you will record

Before the trial, list the process information and acceptance criteria relevant to your project. Use the actual proposed card structure and document any deviations from it.

Record observations as well as the final decision. If a result is unclear, share the trial context with the supplier and agree the next question to resolve. A sample should support a documented decision rather than become an unexplained approval.

Close the loop before purchasing

When moving to an order, check the offered grade and specification against the evaluated sample record. Confirm whether anything has changed and decide if further evaluation is needed.

Keep the final agreed specification, quotation and evaluation reference together. This makes a repeat enquiry clearer and gives both teams a useful reference when requirements evolve.
